Put typing speed and accuracy on top of a data entry resume

For a data entry operator, two numbers decide most shortlists: typing speed and accuracy. Write both in your summary, separately for English and Hindi if you type in both, for example "45 WPM in English, 32 WPM in Hindi (Inscript)". Many government contract jobs and court or office projects specifically ask for Hindi typing in Mangal or Krutidev fonts, so mention the layout you use.

Add an accuracy figure if your employer checks your work, such as "99.5% accuracy in monthly audits". If you have not been audited formally, mention how you check your own entries, for example double-checking totals or matching against source documents.

Describe volume and the type of data you handle

"Data entry work" can mean many things. Tell the employer what kind of records you entered, where you entered them and how many each day.

  • Weak: "Did data entry in computer."
  • Strong: "Enter 350 to 400 invoices a day into the ERP with GSTIN and amount checks."
  • Strong: "Scanned and indexed 1,200+ documents a week using a fixed naming format."
  • Strong: "Built a daily dispatch summary in Excel using VLOOKUP and pivot tables."

Name the software you used, such as Excel, Tally Prime, an ERP, a CRM or a government portal. Excel skills like sorting, filters, VLOOKUP, data validation and pivot tables help you move into MIS or back office roles later.

Tips for freshers and ITI or Class XII candidates

You do not need a degree for many data entry jobs. An ITI COPA trade, a NIELIT CCC certificate or a computer diploma, together with a typing test result, is often enough. List your Class X and XII board and percentage clearly, since some employers still ask for them.

If you have no job experience yet, add projects such as digitising school or society records, helping a shop owner maintain stock in Excel, or typing work for a local office. Mention the number of records and how you checked them. Keep the resume to one page, use a simple layout without tables, and avoid adding photo, father's name or a declaration unless the job form asks. Our resume for freshers guide explains how to build a first resume.

Format and template for HR and admin resumes

HR and admin resumes are read by people who screen resumes for a living, so a neat, conservative layout works better than a colourful design. Use a single-column or light two-column format with clear headings: Summary, Key Skills, Experience, Education, Certifications and Languages. Most employers still upload resumes into Naukri RMS, Darwinbox, Keka or another applicant tracking system, so avoid tables, text boxes and icons for important details.

Keep it to one page up to about five years of experience and two pages for managers. Name the HRMS, payroll and office tools you actually use, and show statutory work (PF, ESIC, PT, gratuity, labour licences) as results, not just duties. Mention headcount, number of locations and turnaround times wherever you can. Leave out photo, date of birth and marital status unless the employer asks. Our guide on writing resume experience shows how to turn routine work into measurable bullets.
