A strong resume is not a biography. It is a focused one or two-page document that helps a recruiter quickly understand what role you fit, what you have done, and why you are worth interviewing. In India, resume and CV are often used interchangeably for private-sector jobs, so the same practical rules apply unless an employer asks for a longer academic CV.
Gather your information first
Before you open a template, collect the raw material. This saves time and prevents a thin resume with vague lines.
Keep these details ready:
- Current contact details: name, email, phone, city, LinkedIn and portfolio or GitHub if relevant.
- Education: degree, college, university or board, year, CGPA or percentage and important coursework only when useful.
- Work history: employer names, job titles, locations, dates, responsibilities, achievements and tools used.
- Projects, internships, certifications, volunteering, languages and awards.
- Job descriptions for the roles you want to apply to.
For every role or project, write down numbers where you can: revenue handled, customers served, reports prepared, pages designed, bugs fixed, turnaround time improved, events organised or students taught. You do not need dramatic figures; even a small verified outcome is better than a generic duty.
Choose the right resume format
The best resume format depends on your background and the job. Do not choose a design only because it looks attractive on screen.
Reverse-chronological format
This is the safest format for most candidates. It lists your latest experience first, then earlier roles, followed by education and other sections. Use it if you have internships, full-time experience, part-time work or a clear career path.
Skills-based format
A skills-based format puts skill groups before detailed work history. Use it carefully. It can help career changers or people returning after a break, but some recruiters prefer seeing where and when each skill was used. If you choose it, still include employment or project dates.
Combination format
A combination format gives a short skills summary near the top and then a normal experience section. It works well for experienced professionals who want to highlight strengths without hiding their timeline.
For online applications, simple layouts are easier to read and parse. You can browse professional resume templates, ATS-friendly resume templates or a broader resume templates gallery before deciding.
Add contact details the Indian way
Place contact details near the top, but keep them professional and relevant.
Include:
- Full name.
- Professional email, such as rahul.sharma@example.com.
- Phone number, such as +91 98XXX XXX21.
- City and state, not your full postal address.
- LinkedIn, portfolio, GitHub or website when it supports your application.
Usually leave out date of birth, marital status, father's name, religion, full address, Aadhaar or PAN number and salary details. Add a photo, date of birth or marital status only if the employer, government format or international application specifically asks. CTC and notice period are usually entered in an application form or discussed later, not placed in the resume.
Write a headline and summary
A headline is a short label under your name. It should match the job, not your dream title.
Examples:
- B.Com Fresher | Accounting, GST Basics and MS Excel
- Front-End Developer | React, JavaScript and Responsive UI
- Operations Executive | Vendor Coordination and MIS Reporting
Your summary should be 2–4 lines. Avoid personality claims without evidence.
Fresher example:
BBA graduate with internship experience in market research and customer surveys. Comfortable with Excel, presentation preparation and basic digital marketing metrics. Seeking an entry-level business analyst or marketing operations role.
Experienced example:
Customer support specialist with 4 years of experience handling email and chat support for SaaS products. Reduced repeat queries by improving help-centre macros and tracking common product issues. Skilled in Zendesk, Excel reporting and cross-team escalation.
If you are a fresher and want more examples by degree, see our resume for freshers guide.
Build each main section
Your section order should help the recruiter find the strongest evidence first. A fresher may lead with education and projects, while an experienced candidate usually leads with experience.
Experience
For each job, add job title, organisation, location if useful, and month-year dates. Then write bullets that show action and result.
Weak:
- Responsible for sales calls and client follow-up.
Stronger:
- Followed up with 80–100 prospects weekly and maintained call notes in CRM, helping the team improve demo scheduling accuracy.
Use present tense for your current role and past tense for earlier roles. If you need deeper help, read the detailed guide to writing resume experience.
Education
List your highest or most relevant qualification first. Add degree, college, university or board, year and grade.
Examples:
- B.Sc Computer Science, Delhi University, 2026, CGPA 8.1/10
- Class XII, CBSE, 2022, 86%
Freshers can include 10th and 12th marks if they are recent and reasonably strong, especially for campus placements. Experienced candidates can usually keep only higher education. Do not list backlogs as a resume section; be honest if asked in a form or interview.
Skills
Keep skills relevant to the job. Group them if the list is long: Tools, Languages, Domain Skills, Soft Skills. The separate skills for resume guide explains how to choose and prove them.
Optional sections
Add optional sections only when they strengthen your case:
- Projects: useful for students, developers, data roles and career changers.
- Certifications: NPTEL, Coursera, AWS, Tally, Advanced Excel or role-specific courses.
- Languages: English, Hindi and regional languages, especially for sales, teaching, support and operations.
- Volunteering: NSS, NCC, college clubs or community work when relevant.
- Achievements: competitions, scholarships, rankings or measurable recognition.
- Hobbies: only if they are specific and add context; avoid generic lists.
For software roles, a project-led structure may work better; compare the software developer resume guide when applying to developer jobs.
Control length and layout
For most Indian job applications, a fresher resume should be one page. Experienced candidates can use one to two pages depending on years of experience and relevance. A senior professional with 15 years of work does not need every early task; summarise older roles.
Use A4 unless an employer asks for another size. Keep margins readable, font size around 10–12, and use consistent spacing. Avoid too many colours, icons, text boxes or decorative elements. Recruiters should understand the page in a quick scan.
A simple rule: if a line does not help you get the interview, remove it. If a section looks crowded, rewrite before reducing the font too much.
Tailor the resume for each job
Tailoring does not mean inventing experience. It means choosing the most relevant facts and using the employer's language honestly.
- Read the job description and mark repeated skills, tools and responsibilities.
- Move the most relevant bullets higher within each role.
- Adjust the headline and summary to match the target role.
- Add exact skill terms you genuinely have, such as Advanced Excel, GST returns, React, Figma or classroom management.
- Remove unrelated details that distract from the role.
For online portals and large employers, also check formatting basics from our ATS-friendly resume guide. If you want a tool-focused walkthrough, the resume maker page explains how to create and reuse versions online.
Proofread, save and submit
Before submitting, run a strict final check.
Proofreading checklist:
- Name, phone, email and links are correct.
- Dates are consistent and gaps are not accidentally created by typos.
- All bullets start consistently and end without random full stops.
- No spelling errors in company, college, tool or certification names.
- PDF text can be selected and copied.
- File name is professional, such as Aarav-Mehta-Resume-Data-Analyst.pdf.
- The resume matches the role you are applying for today, not a different role.
A traditional declaration line is optional: “I hereby declare that the information provided above is true to the best of my knowledge.” Many modern private-sector resumes omit it, but it is still acceptable for some fresher, government-style or college placement formats.

Frequently asked questions
What is the best resume format in India?
For most private-sector jobs, reverse-chronological format is the safest because it shows your latest work, education and achievements clearly. Freshers can adapt it by placing education, projects and internships before work experience.
Should my resume be one page or two pages?
Freshers and students should usually keep it to one page. Experienced candidates can use two pages if the second page contains relevant achievements, not repeated duties or old details.
Should I add a photo to my resume?
For most Indian private-sector jobs, a photo is not required. Add it only if the employer asks, the industry expects it, or the application is for a market where photo CVs are common.
Is PDF the right file format for a resume?
PDF is usually safe because it preserves layout. Use a real-text PDF, not a scanned image, and follow the employer's instruction if they specifically ask for another format.
