Show whose office you run as an executive assistant

The first thing a recruiter wants to know about an executive assistant is who you support and at what level. Supporting a CEO of a 2,000-person company is a very different job from assisting a team of managers. Put the title of the person you support, the industry and the scale of their work in your summary and job titles, for example "Executive Assistant to CEO" rather than just "Assistant".

If you support more than one leader, say how many and how you balance their priorities. Recruiters for senior EA roles also look for stability, so explain short stints briefly if your leader moved companies. Long tenures with one leader are a real strength in this field, so make your years with each executive easy to spot.

Executive assistant bullets that prove judgement

EA work is often invisible when it goes well, so you need numbers and outcomes to make it visible.

  • Weak: "Managed CEO calendar and travel."
  • Strong: "Manage 35 to 45 meetings a week across 3 time zones, cutting last-minute reschedules by 40%."
  • Strong: "Prepare board packs and circulate minutes within 48 hours of each meeting."
  • Strong: "Raised on-time closure of leadership action items from 58% to 84% with a shared tracker."

Include larger projects such as offsites, investor visits, conferences or an office move, with the number of attendees and budget handled. These show that you can plan and execute independently, which is what separates a senior EA from a secretary.

Confidentiality, tools and writing skills

Never name your leader on the resume or share details of deals, board discussions or personal matters. Describe them in general terms, such as "confidential acquisition documents". This itself signals the discretion employers want.

List the tools you use daily: Outlook or Google Workspace, Teams or Zoom, PowerPoint, Excel trackers, expense tools and any board portal. Strong written English is essential, so your resume must be error-free and neatly formatted; any typo will be noticed. A two-page resume is fine after eight years. Format and template for HR and admin resumes

HR and admin resumes are read by people who screen resumes for a living, so a neat, conservative layout works better than a colourful design. Use a single-column or light two-column format with clear headings: Summary, Key Skills, Experience, Education, Certifications and Languages. Most employers still upload resumes into Naukri RMS, Darwinbox, Keka or another applicant tracking system, so avoid tables, text boxes and icons for important details.

Keep it to one page up to about five years of experience and two pages for managers. Name the HRMS, payroll and office tools you actually use, and show statutory work (PF, ESIC, PT, gratuity, labour licences) as results, not just duties. Mention headcount, number of locations and turnaround times wherever you can. Leave out photo, date of birth and marital status unless the employer asks. Our guide on writing resume experience shows how to turn routine work into measurable bullets.
