Make a broad HR generalist role easy to read

The risk with an HR generalist resume is that it turns into a long list of every HR task under the sun. Recruiters skim it and still cannot tell what you are good at. Group your work into four or five themes, such as hiring and onboarding, HRMS and payroll inputs, policies and compliance, performance and employee relations, and write one strong bullet for each.

State the size of the company and the HR team. "One of 3 HR staff for 380 employees" shows the breadth of responsibility far better than a paragraph of duties. Mention the industry as well, since a generalist in a SaaS firm handles very different issues from one in a retail chain or a plant.

Proof points for an HR generalist

Pick outcomes that show you improved how HR runs, not only that you kept it running.

  • Weak: "Handled payroll and attendance."
  • Strong: "Cut monthly payroll closure from 6 days to 3 by cleaning Keka attendance rules."
  • Strong: "Closed 21 grievances in an average of 9 days with documented findings."
  • Strong: "Drafted 7 HR policies including POSH and hybrid work, and trained all managers."

For statutory work, name the specific items: PF, ESIC, professional tax for your state, Labour Welfare Fund, gratuity and bonus. Recruiters in SMEs often hire generalists precisely because they need one person who understands all of these.

Choosing between generalist and specialist roles

Generalist experience is valuable when you apply to startups, SMEs and single-site plants. If you want to move into a specialist track such as talent acquisition, HR business partner or compensation, shift your resume weight towards that area: more bullets, more numbers and relevant certifications.

Keep confidential details out. Do not name employees in grievance or disciplinary cases, and describe investigations in neutral language. One page is enough up to about five years; after that, two pages are fine if every bullet earns its place. For help structuring the sections, see how to make a resume.

Format and template for HR and admin resumes

HR and admin resumes are read by people who screen resumes for a living, so a neat, conservative layout works better than a colourful design. Use a single-column or light two-column format with clear headings: Summary, Key Skills, Experience, Education, Certifications and Languages. Most employers still upload resumes into Naukri RMS, Darwinbox, Keka or another applicant tracking system, so avoid tables, text boxes and icons for important details.

Keep it to one page up to about five years of experience and two pages for managers. Name the HRMS, payroll and office tools you actually use, and show statutory work (PF, ESIC, PT, gratuity, labour licences) as results, not just duties. Mention headcount, number of locations and turnaround times wherever you can. Leave out photo, date of birth and marital status unless the employer asks. Our guide on writing resume experience shows how to turn routine work into measurable bullets.
