Describe the office you run, not just your duties

An office administrator resume works best when the reader can picture the office: how many seats, how many floors or branches, how many vendors and how big the admin budget is. These numbers tell an employer whether you can handle their setup. "Run administration for a 400-seat office with 11 vendors and a ₹1.4 crore budget" is clear and credible.

Mention the industry too. Admin in a hospital, a factory, a BPO and an insurance office involves different vendors, shifts and risks. If you have handled transport for night-shift employees or a 24x7 facility, say so directly.

Cost savings and compliance: the admin proof points

Business owners value administrators who save money and keep the office out of trouble. Your strongest bullets will usually be about one of these.

  • Weak: "Looked after vendors and housekeeping."
  • Strong: "Renegotiated housekeeping and cab contracts, saving ₹18 lakh a year."
  • Strong: "Tracked Shops and Establishments registration, fire NOC and lift licence renewals with zero lapses in 3 years."
  • Strong: "Built a tagged asset register for 900+ items, cutting write-offs by 70%."

Also show projects such as office moves, expansions, fit-outs or safety drills. Give the size, timeline and whether it stayed within budget. A fire drill or evacuation exercise you organised, with the number of employees involved, is a simple but convincing example.

Tools and skills that matter for office administrators

Most admin roles in India expect strong Excel for budgets, trackers and vendor comparisons, plus email and calendar tools such as Outlook or Google Workspace. If you have used a facility helpdesk, visitor management system, expense tool or an ERP for purchase orders, list it by name.

Soft skills matter, but show them through examples rather than adjectives: handling a power outage during an audit, resolving a vendor dispute or managing an office during a heavy-rain shutdown. A degree such as BBA or B.Com is common; a facility management certificate is useful but optional. Keep the resume to one or two pages, and use our how to make a resume guide to check section order.

Format and template for HR and admin resumes

HR and admin resumes are read by people who screen resumes for a living, so a neat, conservative layout works better than a colourful design. Use a single-column or light two-column format with clear headings: Summary, Key Skills, Experience, Education, Certifications and Languages. Most employers still upload resumes into Naukri RMS, Darwinbox, Keka or another applicant tracking system, so avoid tables, text boxes and icons for important details.

Keep it to one page up to about five years of experience and two pages for managers. Name the HRMS, payroll and office tools you actually use, and show statutory work (PF, ESIC, PT, gratuity, labour licences) as results, not just duties. Mention headcount, number of locations and turnaround times wherever you can. Leave out photo, date of birth and marital status unless the employer asks. Our guide on writing resume experience shows how to turn routine work into measurable bullets.
