Write an HR manager summary that shows scale

Leadership teams hire HR managers to solve business problems: high attrition, slow hiring, compliance risk or unrest on the shop floor. Your summary should tell them which of these you have already solved and at what scale. Include total years, years in a lead role, headcount, number of locations and the industry.

"HR manager with 11 years, leading HR for 1,200 employees across 5 logistics sites" immediately places you. "Result-oriented HR leader with strategic mindset" says nothing a recruiter can check. If you manage a team, mention its size and who you report to, for example the plant head, CEO or a group CHRO. That reporting line tells the reader how much independence you have had and which level of role suits you next.

Turn HR initiatives into business results

Every major bullet should connect an HR action to a measurable outcome. Useful measures for HR managers include attrition rate, time to hire, cost per hire, overtime or manpower cost, number of grievances, audit observations and engagement survey scores.

  • Weak: "Handled employee engagement activities."
  • Strong: "Cut first-year attrition from 46% to 29% with structured induction and a buddy programme."
  • Strong: "Rolled out Darwinbox in 14 weeks, replacing 9 Excel trackers."

Labour code readiness is a hot topic for Indian employers. If you have reviewed wage structures, gratuity exposure or standing orders under the new codes, say so plainly.

Compliance, IR and credentials for senior HR roles

In manufacturing, logistics and facility services, recruiters check industrial relations experience carefully. Mention union settlements, domestic enquiries, CLRA licences, Factories Act returns and inspection outcomes, but never name real workers or disclose disputes in detail.

An MSW, MBA (HR) or PGDM in personnel management is standard. Certifications such as SHRM-CP or a labour law diploma help, but keep them in a short section below experience. Use two pages at most and remove early-career clerical tasks so your leadership work stays visible. If you have built an HR team from scratch, opened a new plant or integrated employees after an acquisition, give it its own bullet, because these are exactly the situations that companies hire experienced HR managers to handle.

Format and template for HR and admin resumes

HR and admin resumes are read by people who screen resumes for a living, so a neat, conservative layout works better than a colourful design. Use a single-column or light two-column format with clear headings: Summary, Key Skills, Experience, Education, Certifications and Languages. Most employers still upload resumes into Naukri RMS, Darwinbox, Keka or another applicant tracking system, so avoid tables, text boxes and icons for important details.

Keep it to one page up to about five years of experience and two pages for managers. Name the HRMS, payroll and office tools you actually use, and show statutory work (PF, ESIC, PT, gratuity, labour licences) as results, not just duties. Mention headcount, number of locations and turnaround times wherever you can. Leave out photo, date of birth and marital status unless the employer asks. Our guide on writing resume experience shows how to turn routine work into measurable bullets.
