Put shorthand and typing speeds in the first lines

For a Stenographer post, speed is the first filter. Write your shorthand speed and typing speed for each language in the summary, exactly as you can demonstrate them in a test, for example "Hindi shorthand 100 wpm, English typing 40 wpm". Mention the fonts and keyboard layouts you use for Hindi, such as Unicode Mangal with Inscript or Remington Gail, and Krutidev, because offices differ.

Do not round up your speed. Government and court recruiters test it, and a CV claiming 120 wpm when you manage 90 creates a poor impression at the skill test or interview. If you hold an ITI certificate in Stenographer and Secretarial Assistant, NIELIT CCC or O Level, list them, since many state posts ask for them.

Preparing a stenographer CV for SSC and court exams

SSC Stenographer Grade C and Grade D are selected through a computer-based test followed by a qualifying skill test: 10 minutes of dictation at 100 wpm for Grade C or 80 wpm for Grade D, which you then transcribe on a computer. High Court, district court and state commission recruitments use a similar dictation and transcription test.

The CV is used at document verification and for contractual or private posts, so keep it formal and accurate. Make sure your name, date of birth, category and qualifications match the online application and your certificates. Carry self-attested copies of mark sheets, the ITI or typing certificate and experience letters.

Show the documents you handle, not just the speed

Beyond speed, employers want someone who can produce clean, correctly formatted documents. Describe the type and volume of work:

  • Weak: "Doing typing and shorthand work."
  • Strong: "Transcribe writ petitions and affidavits from daily dictation of 3 advocates, about 25 pages a day."

Mention office duties such as maintaining the dak register, case diary or hearing calendar, drafting letters and office orders, minutes of meetings, e-filing and managing confidential files. Freshers can list their ITI or institute practice hours, test speeds and any apprenticeship in an office. Keep the CV to one page unless you have more than ten years of experience.

Format for government and PSU job resumes

Government offices, PSUs, research institutes and NGOs running public projects still prefer a formal, single-column CV with plain headings: Personal Details, Educational Qualifications, Experience, Skills and Declaration. Many advertisements ask for details that private employers do not, such as date of birth, category (SC/ST/OBC/EWS) or father's name. Add these only when the advertisement or prescribed format asks for them, and attach a category certificate only if it is requested.

Make sure every date, percentage and name on your CV matches the online application form and your certificates exactly, because scrutiny committees reject mismatches. Keep self-attested copies of mark sheets, experience letters and certificates ready in the order they appear on the CV. If the advertisement asks for a declaration, end with a short signed statement that the information is true, with place and date.
