What HR managers look for in an HR executive resume

An HR executive is usually the person who keeps day-to-day HR running: joining formalities, attendance, leave, records, basic recruitment and employee queries. Hiring managers want proof that you can handle this volume accurately without supervision. State the size of the workforce you support, the type of employees (staff, shop-floor, contract) and the number of locations in your summary.

Write "HR executive with 3 years supporting 450 employees across 2 plants" rather than "dynamic HR professional with good communication skills". The first line tells a recruiter exactly which jobs you can step into. If you have worked in a factory, staffing firm or retail chain, say so, because HR work in each of these settings is quite different and managers prefer people who already know the pace.

Show statutory and HRMS work with numbers

Many HR executive roles in India include PF and ESIC enrolment, UAN generation, nomination forms and maintaining registers under the Shops and Establishments Act or Factories Act. Do not hide this under "statutory compliance". Spell out what you did and how quickly.

  • Weak: "Responsible for joining formalities."
  • Strong: "Completed UAN and ESIC registration for 18 joiners a month within 3 working days of joining."
  • Strong: "Reduced payroll-input corrections from 35 to 8 a month by fixing attendance rules in greytHR."

Name the systems you use, such as greytHR, Keka, Darwinbox, Zoho People or SAP SuccessFactors, because recruiters search for them directly on Naukri.

Moving from HR trainee to HR executive

If you are an MBA (HR) or MSW fresher, lead with your internship and any live project such as an attrition study, onboarding survey or policy handbook. Mention the sample size and what management did with your findings.

With two or more years of experience, cut college projects and add depth to your current job instead: hiring numbers, inspection or audit readiness, employee engagement events you organised and process improvements you suggested. Avoid listing "MS Office" alone; say which Excel functions you use for headcount and attendance reports. Our resume skills guide explains how to choose skills that match the job description.

Format and template for HR and admin resumes

HR and admin resumes are read by people who screen resumes for a living, so a neat, conservative layout works better than a colourful design. Use a single-column or light two-column format with clear headings: Summary, Key Skills, Experience, Education, Certifications and Languages. Most employers still upload resumes into Naukri RMS, Darwinbox, Keka or another applicant tracking system, so avoid tables, text boxes and icons for important details.

Keep it to one page up to about five years of experience and two pages for managers. Name the HRMS, payroll and office tools you actually use, and show statutory work (PF, ESIC, PT, gratuity, labour licences) as results, not just duties. Mention headcount, number of locations and turnaround times wherever you can. Leave out photo, date of birth and marital status unless the employer asks. Our guide on writing resume experience shows how to turn routine work into measurable bullets.

Many companies prefer an MBA, PGDM or MSW in HR, but graduates with strong HR operations experience and good Excel skills are also hired, especially in SMEs and staffing firms.
Yes. Employers value hands-on experience with UAN generation, ESIC registration, nominations and challans, so describe exactly which tasks you handled and for how many employees.
