A cover letter is a short, one-page note that tells a recruiter which role you want, why you fit it and what you would bring to the team. To write one, address it to a named person if possible, open with the role and a strong reason you are applying, use one or two paragraphs to connect your best evidence to the job description, and close with a polite request for an interview. Keep it to 250–400 words.

In India, many recruiters on Naukri or LinkedIn read your resume first and the cover letter only if it is short and specific. That is exactly why a good one helps: a tailored letter shows effort that a generic application does not. This guide gives you the structure, sample lines and two complete letters you can adapt.

When you need a cover letter in India

Not every application asks for one, but it is worth writing when:

  • The job post or company career page has a cover letter field or says "attach a cover letter".
  • You are emailing your resume directly to HR or a hiring manager. The email body becomes your cover letter.
  • You are applying for roles where writing matters: content, marketing, HR, consulting, research, teaching, communications or client-facing positions.
  • You need to explain something the resume cannot, such as relocation, a career change or a gap.
  • You are applying to MNCs, startups or foreign companies that commonly expect one.

For a quick Easy Apply on a portal with no text box, you can skip it. For a role you really want, write it.

The structure of a cover letter

A clear cover letter has four parts. Think of it as a short argument: who you are, why you fit, what you will add and what happens next.

1. Header and greeting

For a document (PDF or Word), put your name, phone, email, city and LinkedIn at the top, followed by the date and the company's name and city. For an email, your contact details go in the signature instead.

Use a name whenever you can find one: "Dear Ms Iyer" or "Dear Rahul Mehta". Check the job post, the company's LinkedIn page or the recruiter who posted the role. If you cannot find a name, "Dear Hiring Manager" is acceptable. Avoid "Dear Sir/Madam" and "To Whom It May Concern"; they feel dated and impersonal.

2. Opening paragraph

State the role, where you saw it and a one-line reason you are a strong fit. Do not start with "My name is…"; your name is already on the letter.

Weak:

I am writing to apply for the post advertised in your company. I am a hardworking and dedicated person.

Strong:

I am applying for the Accounts Executive role posted on Naukri. With three years of experience handling GST returns, vendor reconciliations and month-end closing for a manufacturing company in Pune, I can support your finance team from the first week.

3. Body paragraphs

This is where you prove the claim from your opening. Pick two or three requirements from the job description and match each one with a specific example from your work, internship or projects. Use numbers where they are honest.

In my current role at Shree Polymers, I file monthly GSTR-1 and GSTR-3B returns for two GSTINs and reconcile around 300 vendor invoices a month in Tally Prime. Last year I set up an Excel tracker for input tax credit mismatches, which reduced pending reconciliation items from about 60 to under 15 each month.

Add a short paragraph on why this company. Mention something real: their products, expansion, clients, values or a recent project. One or two sentences are enough.

I am particularly interested in your company because of your growth in export markets; my experience with export invoices and LUT filings would be directly relevant.

If you are writing a resume and cover letter together, keep the evidence consistent. The guide to writing resume experience shows how to turn duties into achievement bullets you can reuse here in sentence form.

4. Closing paragraph and sign-off

Summarise your value in one sentence, mention your availability or notice period if relevant, and ask for a conversation.

I would welcome the chance to discuss how I can support your finance team. I am currently serving a 30-day notice period and can join by 1 December. Thank you for your time and consideration.

Sign off with "Regards", "Kind regards" or "Sincerely", followed by your full name. "Yours faithfully" is fine for formal government or PSU letters, but most private employers expect the simpler options.

How long should a cover letter be

Aim for 250–400 words, three to five short paragraphs, and never more than one page. Recruiters often skim, so every sentence should either show fit or move the reader towards an interview. If your letter is longer, cut repeated resume details, personal history and generic adjectives.

Formatting tips:

  • Use the same font and header as your resume so the two look like a set.
  • Keep margins normal and paragraphs short, with a blank line between them.
  • Save it as a PDF named clearly, for example Anjali-Rao-Cover-Letter-Content-Writer.pdf.
  • If a portal only offers a text box, paste plain text without bullet symbols that may break.

Hiring Manager
BrightCart Retail Pvt Ltd, Bengaluru

Dear Ms Fernandes,

I am applying for the Performance Marketing Manager role listed on your careers page. Over the past four years I have managed Google Ads and Meta campaigns for D2C brands with monthly budgets of up to ₹12 lakh, and I am keen to bring that experience to BrightCart's growth team.

At my current agency, I lead paid campaigns for three consumer brands. For a skincare client, I restructured search campaigns and introduced weekly creative testing, which reduced cost per acquisition by around 22% over two quarters while keeping order volume steady. I also built a Looker Studio dashboard that the client's founders now use for weekly reviews, replacing four separate spreadsheets.

Your job description mentions marketplace advertising and in-house team building. I have run sponsored product campaigns on Amazon for two clients and trained two junior executives on bidding and reporting, so I am comfortable both executing and guiding others.

I admire how BrightCart has expanded into tier-2 cities with regional-language creatives, and I would enjoy working on campaigns at that scale.

I would welcome the opportunity to discuss how I can contribute. My notice period is 60 days, negotiable. Thank you for considering my application.

Kind regards,
Neha Kulkarni

Sample cover letter for a role change within your field

This version suits someone moving from a support role into a more specialised one.

Dear Hiring Manager,

I am writing to apply for the Junior Data Analyst position at Vertex Logistics, which I saw on LinkedIn. For the past two years I have worked as an operations executive, where most of my day involves cleaning shipment data, building Excel reports and spotting delays before they reach customers.

I have taught myself SQL and Power BI over the last year and now use them at work. I created a delay-tracking dashboard for our Delhi hub that the operations manager reviews every morning, and it helped the team cut repeat customer complaints about late deliveries. I have also completed the Google Data Analytics certificate and a capstone project analysing 50,000 delivery records.

Because I already understand logistics operations, I can bring business context to the analysis rather than just numbers. I would value a chance to discuss the role with you.

If you are making a bigger switch between industries, the resume for career change guide explains how to present transferable skills consistently in both documents.

Cover letter as an email

When you send your application by email, do not attach a separate cover letter and leave the body empty. Write a shorter version (120–200 words) directly in the email, with the resume attached as a PDF.

Common cover letter mistakes

  • Sending the same letter to every company. Recruiters notice when the company name is the only change.
  • Repeating the resume line by line. Use the letter to explain and connect, not to list.
  • Focusing on what you want. "This job will help me grow" matters less than what you will do for them.
  • Overusing adjectives. "Dynamic, passionate, result-oriented" says nothing without examples.
  • Wrong company or person's name. Always check before sending; it is the quickest way to be rejected.
  • Making it too long. Anything beyond one page is rarely read in full.
  • Mentioning salary unprompted. Leave expected CTC for the form or the interview unless the job post asks for it.
  • Typos and informal language. Avoid SMS-style words, emojis and "Hi Sir".

Quick checklist before you send

  • Addressed to a named person, or "Dear Hiring Manager".
  • First paragraph names the role and your strongest fit.
  • At least two specific examples linked to the job description.
  • One line on why this company.
  • Clear closing with availability and a polite request.
  • 250–400 words, one page, matching resume design.
  • Proofread aloud, with company name and role double-checked.

Frequently asked questions

Is a cover letter necessary for jobs in India?

It is not always mandatory, but it helps when the post asks for one, when you email HR directly, or when you need to explain a career change, relocation or gap. For roles involving writing or client communication, a good letter is a real advantage.

Can I use the same cover letter for every job?

You can reuse a base structure, but tailor the opening, the examples and the "why this company" line for each application. A tailored letter takes ten minutes and is far more effective.

Should freshers write a cover letter?

Yes. Freshers can use projects, internships and college activities as evidence. The cover letter for freshers guide has full samples for B.Tech, B.Com and MBA graduates.

Final thoughts

A good cover letter is short, specific and honest. It points the recruiter to your best evidence and makes a clear case for an interview. Before you write it, make sure your resume tells the same story; you can build and preview your resume free in the MakePerfectResume builder, and PDF download needs a one-time plan from ₹99.
