When you send your resume by email, write a clear subject line with the role and your name, address the recipient by name, and keep the body to four short parts: the role you are applying for, two or three lines on why you fit, a note that your resume is attached, and a polite sign-off with your phone number. Attach your resume as a PDF with a professional file name. The whole email should be readable in under a minute.
An empty email with only an attachment, or a message that says "PFA my resume", is one of the most common reasons applications are ignored. HR teams in India receive dozens of such emails a day. A short, specific email tells them immediately which role you want and why they should open your file. This guide gives you subject lines and sample emails for the situations you will actually face.
Before you hit send: the basics
Get these right first, because they are noticed before anything you write.
- Use a professional email address. Firstname.lastname@ or a close variation. Avoid addresses like cooldude99@ or old school IDs.
- Attach a PDF. PDFs keep your formatting the same on every device. Send Word only if the employer asks for it.
- Name the file properly. Use something like Ritika-Jain-Resume-Data-Analyst.pdf, not resume-final-2.pdf.
- Keep the file small. Under 1 MB is ideal; avoid large images or scanned pages.
- Use the right address. Send to the email given in the job post. If the post says to apply only through a portal, do that instead.
- Send one email per company. Never put many HR addresses in the To or CC field.
Check that your resume is ready for automated screening too; many companies forward emailed resumes into an applicant tracking system. The ATS-friendly resume guide explains what to avoid.
How to write the subject line
The subject line decides whether your email is opened, searched and found later. Include the role, your name and, if useful, a job ID, experience or a key qualification.
Good subject lines:
- Application for Sales Executive – Amit Verma
- Application: Data Analyst (Job ID DA-2041) – Ritika Jain
- Java Developer – 3 Years Experience – Immediate Joiner – Karan Mehta
- B.Com Fresher – Application for Accounts Assistant – Pooja Sharma
- Referred by Sneha Kapoor – Application for UX Designer – Rahul Das
Weak subject lines:
- Resume
- Job application
- Please check my CV
- (no subject)
Keep it under about 70 characters so it does not get cut off on a phone.
Structure of a resume email
Greeting
Use the person's name if you know it: "Dear Ms Kapoor" or "Dear Rahul". If you do not, use "Dear Hiring Manager" or "Dear HR Team". Avoid "Respected Sir" and "Dear Sir/Madam" for private-sector jobs; they feel outdated, and you may be writing to a woman.
Opening line
State the role and where you saw it.
I am writing to apply for the Customer Support Executive role posted on Naukri on 24 October.
Why you fit
Two or three sentences with your most relevant evidence. Mention experience, a key skill or tool, and one result if you have it.
I have two years of experience handling inbound calls and email tickets for an e-commerce brand, consistently maintaining a CSAT score above 90%. I am fluent in English, Hindi and Marathi.
Attachment and availability
Please find my resume attached. I am currently serving a 30-day notice period.
Closing and signature
Thank you for your time. I look forward to hearing from you.
Regards,

This is essentially a short cover letter. If the job post asks for a full cover letter, follow the guide on how to write a cover letter and attach it separately, while still keeping a short body in the email.

My resume is attached for your review. I would be glad to discuss how I can support your marketing team.

Freshers can find full letter examples in the cover letter for freshers guide.
Sample email when you have a referral
Always ask the referrer before using their name, and mention it in both the subject line and the first sentence.
Subject: Referred by Sneha Kapoor – Application for QA Engineer – Vivek Nair
Dear Mr Bhatia,
Sneha Kapoor from your payments team suggested I reach out about the QA Engineer opening. I have three years of experience in manual and API testing for fintech products, using Postman, JIRA and basic Selenium automation.
At my current company, I created a regression checklist for our UPI module that helped the team catch release issues earlier. I have attached my resume and would welcome a conversation.

If the company has an internal referral system, the employee may need to submit your resume themselves. Send them your resume and the job link so they can do so easily.
Sample cold email when no job is advertised
Cold emails work best with smaller companies, startups and agencies. Keep them short and specific to that business.
Subject: Content Writer with B2B SaaS Experience – Meera Pillai
Dear Mr Thomas,
I have been following your company's blog on GST compliance for small businesses, and I would like to ask whether you have any openings for a content writer.
I have two years of experience writing long-form articles and product pages for B2B software companies, including several articles that now rank on the first page of Google for finance-related searches. Three relevant samples are linked in my attached resume.
If there is no opening right now, I would be grateful if you could keep my resume for future roles.
Regards,
Meera Pillai

How to follow up with HR
If you hear nothing, one polite follow-up is acceptable after about 7–10 working days. Reply in the same email thread so the recruiter can see your original application.
Subject: Re: Application for Sales Executive – Amit Verma
Dear Ms Kapoor,
I wanted to follow up on my application for the Sales Executive role, sent on 14 October. I remain very interested in the position and would be happy to share any further information.
Thank you for your time.
Regards,
Amit Verma

After an interview, a short thank-you email within 24 hours is a good habit. Mention one point from the conversation and confirm your interest. Do not send more than two follow-ups for the same role; if there is still no reply, move on.
Common mistakes to avoid
- Blank email with only an attachment, or "PFA my CV" with nothing else.
- Long paragraphs that repeat the whole resume.
- Mass emails with many companies visible in CC.
- Wrong attachment, such as an old resume or a file meant for another company.
- Forgetting the attachment after writing "please find attached". Attach the file first, then write the email.
- Informal language, emojis or SMS spellings.
- Sharing sensitive documents such as Aadhaar or PAN card copies before an offer. Share them only through official channels at the onboarding stage.
- Following up too often or sending WhatsApp messages to HR without permission.
Final checklist
- Clear subject line with role and name.
- Greeting with a name, or "Dear Hiring Manager".
- Role, fit and attachment covered in under 150 words.
- PDF resume with a professional file name.
- Phone number and LinkedIn in the signature.
- Sent to the correct address, from a professional email ID.
- Test email sent to yourself to check formatting and attachment.
Frequently asked questions
Should I write the cover letter in the email body or attach it?
For most applications, the email body works as your cover letter. If the job post specifically asks for a cover letter, attach it as a PDF and still write a short email.
What is the best time to send a resume email?
Weekday mornings, roughly 9 am to 11 am, are a sensible choice because recruiters often clear their inbox then. Timing matters far less than a clear subject line and a relevant resume.
Can I send my resume to HR on LinkedIn instead?
Yes, but keep the message short and ask before sending files. Your profile and resume should match; the resume headline examples guide can help you align them.
Closing note
A good resume email is short, specific and easy to act on. Make the subject searchable, lead with the role, give one or two reasons you fit and attach a clean PDF. If you need to prepare that PDF, you can build and preview your resume free in the MakePerfectResume builder; PDF download needs a one-time plan from ₹99.
