Show what you buy and how much as a purchase executive

"Handled purchase department" is the most common line on purchase executive resumes, and it says almost nothing. Recruiters want to know the category you buy (raw material, packaging, capital goods, MRO, services), the annual spend you handle, the number of POs or vendors and the industry. These details decide whether you fit a chemical plant, an engineering unit or a trading company.

Write something like "Handle packaging and MRO purchases worth about ₹11 crore a year, raising 250+ POs a month in SAP MM". If you cannot share exact figures, use a range or the monthly PO count instead.

Proving savings and vendor development

Purchase teams are judged on cost, lead time and supply reliability. The strongest bullets connect your action to one of these:

  • Saved ₹48 lakh a year through rate contracts and reverse auctions.
  • Developed 9 local vendors and cut lead time from 21 to 9 days.
  • Reduced emergency purchases from 30% to 12% of orders by tracking reorder levels with stores.

Be careful with savings claims. Interviewers usually ask how savings were calculated (against last purchase price, budget or the first quotation), so state the basis if you can. Mention negotiation on payment terms, freight or packing as well, not only unit price.

SAP MM, GST knowledge and growing into procurement

Many Indian manufacturers run SAP or Oracle, while smaller units use Tally Prime or a local ERP. Name your system and the steps you do in it: purchase requisition, PO, GRN follow-up, MIRO or invoice matching. Purchase executives also need working knowledge of GST, HSN codes, input tax credit, e-way bills for inward material and MSME vendor payment timelines, so mention these if you handle them.

Freshers with a B.Com, BBA or MBA in operations can show internships in a stores or purchase team, an Excel cost-comparison project or a NPTEL supply chain course. Experienced buyers aiming for procurement manager roles should add category strategy, vendor audits and contract negotiation. Read our guide on writing resume experience to phrase each bullet clearly.

Format and template for operations resumes

Operations and supply chain hiring in India is driven by numbers: on-time dispatch, inventory accuracy, cost per shipment, fill rate, OTIF and audit scores. Use a clean single-column layout with standard headings (Summary, Skills, Experience, Education, Certifications) so Naukri, LinkedIn and company ATS tools can parse it, and let each experience bullet carry at least one measurable result.

Name the systems you actually use, such as SAP MM, SAP WM or EWM, Oracle, Tally Prime, a WMS or TMS, and Excel with pivot tables. Mention the scale of your work: number of SKUs, warehouse area in sq ft, monthly purchase value, fleet size or containers handled. One page works up to about five years of experience; managers can use two. Skip photo, date of birth and declaration unless the employer asks. See our guide on writing resume experience for help turning daily duties into results.

Frequently asked questions

Mention your years of experience, the categories you buy, the ERP you use and one strong result such as annual savings or reduced lead time. Keep it to two or three lines.
It is not required everywhere, but large manufacturers and MNCs often ask for SAP MM experience. If you use Tally Prime or another ERP, list it clearly and show the purchase steps you handle.
Give a specific example, such as moving a vendor to an annual rate contract or getting better payment terms, and state the saving or benefit. A real result proves negotiation better than the word itself.
